What You’ll Get to Do:

Responsibilities/Duties. Works under the direction of the Administrative Officer or Project Supervisor. Performs the following task while complying with established procedures.

  • Performs docketing using the computerized case tracking and record-keeping system. Regularly inputs new information into the database, and recommends improved office procedures to enhance the efficiency of the docket function. Receives and reviews incoming ECF notices. Analyzes content to determine the nature of the government's interest and cause of action. Selects the appropriate computer codes. Conducts periodic case certification process. Makes required corrections requested by authorized USAO employees.

  • Produces a variety of written documents utilizing varied and advanced word processing software functions, working from handwritten draft, edited copy, or electronic files created by another staff member. Final copy may be in one of several formats, each requiring the use of advanced functions to perform extensive editing functions and frequently involving specialized terminology. Uses a variety of advanced word processing functions, e.g., to create tables of contents and lists of exhibits. Creates, copies, edits, makes insertions and deletions, and moves text throughout a single document and from one electronic word processing file to another.

  • Stores, retrieves and prints a variety of documents to include those requiring complex formats such as graphics or tables within text. Ensures documents are in the proper format, and that spelling, punctuation, capitalization, and grammar have been verified. Consults with document author to resolve questionable material.

  • As required, secures statistical or other information from files and related sources and inputs selected information into appropriate database or spreadsheet files. Sorts, calculates and retrieves data for standard reports, uses graphics software to provide graphic symbols, charts, and graphs for viewgraphs.

  • Sorts and arranges material for filing and files material in alphabetical, numerical or chronological order. Locates filed material based on working knowledge of office filing system. Receives case files or other materials which have been classified and filed under established file headings. Prepares cross reference as necessary and as required.

  • Receives, reviews, and distributes incoming mail, including service of process. Ensures mail received from other agencies is appropriately screened and distributed. Immediately notifies appropriate staff member when material is received via FAX transmission and places in appropriate internal mail box. ·

  • Makes recurring and special messenger trips as necessary.

  • Operates multi-function printer. Displays working familiarity with essential machine features to ensure the required number of copies are produced m the proper format. Collates and staples material as necessary.

  • Receives travel documents and prepares travel authorizations and travel vouchers for review and signature by the appropriate supervisor. Reviews data for completeness and accuracy, verifying expenses to ensure travel is within established Department of Justice guidelines and Federal Travel Regulations. Ensures that documentation is forwarded to the appropriate offices to receive payment. Follows up to resolve issues as required.

  • Receives telephone calls and visitors to the office. Controls access to the office and insures that only visitors properly cleared are authorized entry. Notifies staff members of visitors or incoming telephone calls. Takes messages from, and gives messages to, visitors and callers when staff members are unavailable.

  • Responds to inquiries, providing general information regarding office programs. Advises caller or visitor to contact the appropriate Federal, State, or local agencies concerning matters outside the USAO's purview and furnishes the needed address or telephone number when available.

  • Maintains an up-to-date telephone listing.
