CACI is seeking an experienced Executive Assistant supporting a Product Manager (PM) / Deputy Product Manager (DPM) and 50+ support personnel in a high-paced, rewarding, acquisition program office at Fort Belvoir, VA.
What You’ll Get to Do:
Manage PM/DPM calendar and facilitate recurring meetings/reviews with leadership team and principal staff.
Manage PM/DPM travel. Coordinate PM/DPM travel arrangements in Defense Travel System (DTS) to include closeout of vouchers. Confirm travel arrangements (mode of travel, flight, rental car, hotel, etc.) with PM/DPM before generating final travel arrangements. Inform PM/DPM when travel vouchers are ready for signatures. Prepare and deliver PM/DPM travel packets (orders, maps, and agenda) 24 hours prior to travel.
Coordinate and track PM/DPM and COR approval for contractor travel authorization requests; brief status during recurring meetings
Manage PM/DPM phones daily. Ensure missed telephone calls or messages (Who, Purpose, and how they can be reached) are promptly delivered to the PM/DPM if they are unavailable. Ensure phone calls are covered when you are not present to receive them.
Manage visitors, keep a log of visitors and purpose of visit, and announce arrival to PM/DPM.
Review timesheets and leave slips prior to approval in civilian database and inform supervisors for approval certification.
Manage in-processing and out-processing for employees and contractors.
Maintain PM organization charts and submit changes as required.
Manage PM conference rooms and teleconference lines.
Review technical accuracy of all documents for compliance with AR 25-50. Prioritize documents requiring PM/DPM action and inform the leadership when a document needs to move up in priority.
Facilitate badge and CAC card requests for PM employees and contractors.
Manage classified materials, confidentially, and sensitive information in accordance with DoD Standards.
Manage Government Vehicle request for the PM/DPM with assistance from PM Operations. Ensure leadership has a government vehicle for all local travel when requested.
Assigned as the Mail POC for PM. Ensure all mail is delivered to the appropriate section or person.
Ensure burn bags are properly marked and disposed of in accordance with policy.
Serve as the Administrator for MIRARS attendance and report status to the PM/DPM as required.
Update/Maintain Emergency SOP and Personnel Phone list for PM/DPM.
Process PM/DPM Joint Personnel Adjudication System (JPAS)/ Defense Security Service (DSS) request.
Submit visitor/foreign visitor requests.
Track mandatory training for government employees and contractors.
Manage floor plan, office moves, phone transfers, and key control.
Manage distribution lists.
Performs other duties as assigned.
You’ll Bring These Qualifications:
University Degree (BA/BS) or equivalent experience and minimum 7-10 years of related work experience.
MUST have exceptional organizational skills and strong written/oral communication skills
MUST have Active Secret Security Clearance.
Poised in dealing with Senior Leadership up to General Office / Senior Executive Service levels.
Extensive experience with Word, Excel, PowerPoint, SharePoint, MS TEAMS and using databases.
Extensive experience with the Defense Travel System (DTS).
Must have strong interpersonal and conflict resolution skills, and ability to handle confidential matters and demanding personalities.
Must have a professional appearance and demeanor.
Must be a proactive and solution-oriented problem solver.
These Qualifications Would be Nice to Have:
- Experience with Automated Time Attendance and Production System (ATAAPS), Joint Personnel Adjudications System (JPAS) / Defense Information Security System (DISS), Manpower Information Retrieval and Reporting System (MIRARS).
