More About the Role:

As a Correspondence Analyst you will provide the following correspondence services to a Federal client:

  • In this role, the Correspondence Analyst is to provide expert, authoritative advice, and assistance in managing the volume and assignments of correspondence across all Office Railroad Safety offices

  • Become proficient using the Electronic Document Management Systems (EDMS) to assist in the implementation, monitoring and maintenance of program and administrative functions, as required

  • Ensures that correspondence is directed to the appropriate persons according to not only to the subject matter but also to the appropriate Federal employees within the Division for prompt response

  • Enters detailed information into the electronic tracking system, update and manage the status of correspondence in the tracking system to accurately reflect its location during the processing stages, prior to signature.

  • Oversee thorough review of all assigned workflows; record current status of all workflow packages into the Tracking System.

  • Monitor the due dates to remind Program Offices before action is due, follow up on overdue actions, and report the status of correspondence to the Team Lead on a weekly basis.

  • The analyst will be responsible to control, assign, route, and track all correspondence from inception to completion

  • Closeout in the EDMS completed actions in accordance with procedures

  • Work closely with the Executive Secretariat to usher timely documents through to the Administrator/Secretary

  • Serve as an EDMS subject matter expert regarding EDMS use for controlled correspondence

  • Develops and maintains strong working relations with senior level officials to ensure assignments are fully vetted, in final form, and ready for approval.

  • While the main focus of this position is on correspondence, the analyst may be asked to assist with additional technical editing projects such as reports, style guides, reviewing correspondence drafts for grammar and consistent styles, as well as proper format.

You'll Bring These Qualifications:

  • Bachelor's degree in a relevant career field and five (5) years of experience editing technical reports and technical documentation using word processing systems (Word), desktop publishing (Publisher), presentation systems (PowerPoint), Adobe systems, and spreadsheet systems (Excel);

  • Alternatively, a Bachelor’s Degree in any discipline with three (3) to five (5) years of experience creating highly‐visible communications collateral for U.S. Government entities; and

  • Ability to obtain Public Trust level access as granted by the customer

These Qualifications Would be Nice to Have:

  • Writing Experience in a federal or government environment;

  • Experience working with clients to develop and implement processes for review and approval of public-facing documents;

  • Experience with electronic document management systems;

  • Experience tracking documents, such as correspondence and Reports to Congress, throughout the document lifecycle; and/or

  • Experience editing and formatting high-level correspondence.

The proposed salary range for this position is:

$64,400 - $135,100
